Invitation to the Seventy-ninth General Assembly Ankara, May 23 May 28, 2005

1. Nomination of Delegates Arrangements are now in hand for the 79th General Assembly of the UAI, to be held in Ankara, at the seat of the Türk Tarih Kurumu (Academy of History of Turkey), from Monday May 23 to Saturday May 28, 2005 (the closing of the General Assembly will be held May 28 in Istanbul). Form A (enclosed) will list the names of the delegates who will be representing your Academy. It would help if this form could be returned as soon as possible, but in accordance with the Regulations of the UAI (Article 1,a), we have to ask you to return it no later than three months before the meeting : that is before February 25, 2005 at the latest. In order to secure a harmonious measure of continuity, delegates should be appointed for a period of not less than three ordinary General Assemblies, as the Regulations provide ; it being understood (Article 1,b) that if a delegate is unable to be present, or no longer able to act, a substitute may be nominated. New delegates are asked to provide a brief CV (not more than one page), to accompany the nomination. 2. Admission of new Member Academies Proposals for admission of new Member Academies (members, associate members and corresponding members) should be received not later than March 1, 2005. 3. Papers for the 79th General Assembly In order that the material for the meeting can be prepared in time, the reports on the research projects in which Member Academies participate have to be sent to the Secretariat by April 1, 2005, not later. As in previous years, an up-to-date list of the members of the relevant National Committees and of others collaborating in the research concerned is welcomed. Reports should be in French or in English (texts in other languages will not be translated any more). They should be set out in the format given by Form B (enclosed). It is very important that they should be written in a manner suitable for direct presentation to the Assembly, and they should aim to be both complete and concise. The reports which will be arrived at the Secretariat after April 1, 2005 will not be included in the general documentation preliminary given to each delegate. Following the decisions of the General Assembly of Lisbon (June 2003), an evaluation of the progress of each project will happen every four years (this must guide the General Assembly to vote on the renewal of a project or not, for another period of four years). In Ankara, the following projects will firstly be the object of an extensive examination : Unpublished Historical Documents concerning Japan ; Corpus Philosophorum Medii Aevi:
The Encyclopaedia of Islam ; Monumenta Musicae Byzantinae ; Catalogus Translationum et Commentariorum ; Sumerian and Assyrian Dictionaries ; Corpus Vitrearum ; Polyglot Lexicon of Codicology ; Complete Works of Voltaire ; Index of Jewish Art ; Language Atlas of the Pacific Area ; Corpus of Greek and Latin Philosophical Papyri ; Corpus Iuris Sanscriticum ; Corpus of Phoenician and Punic Antiquities ; Corpus Christianorum, Series Apocryphorum ; Corpus Iuris Islamici ; Monumenta Palaeographica Medii Aevi ; Clavis Monumentorum Litterarum Bohemiae ; Catalogue of Collections of Oriental Manuscripts. The directors or responsibles of these projects have already received a special form (for synthesis) to be completed and to be returned to the Secretariat by December 31, 2004. 4. Hotels In order to facilitate contacts between delegates, the Türk Tarih Kurumu and the Secretariat of the UAI obtained price reductions from two hotels which are located not far from of the TTK (walking distance : between 6 and 10 minutes). The standard of these hotels is good, the level of equipment satisfactory. They provide an excellent quality of services. Following reduced prices have been proposed :

Prices include breakfast (buffet) and all taxes. Nevertheless, a minimum of occupation is required to obtain the price reduction (there is of course no obligation at all to book in one of these three hotels). Form C (enclosed) has to be sent to the Secretariat of the UAI as soon as possible and before April 1, 2005 at the latest). For the delegates who go directly by air in Ankara, a reception is provided (a frequent service will drive directly them to their hotel; please return form D to the Secretariat of the UAI who will bring together all the informations. For the delegates who wish to stay in Istanbul before or after the General Assembly, prices have been negotiated with the following hotels:
5. Agenda The Agenda should reach the delegates around May 1, 2005. May we remind you that the General Assembly is extended to the following sessions: May 23 (evening) : reception at the Museum of Anatolian Civilisations; May 24 : Opening Assembly and Session on the projects submitted to a four-year evaluation; musical evening; May 25 : scholarly sessions of the other projects; May 26 morning : session-discussion on the theme The UAI and its projects in social sciences; afternoon devoted to individual contacts and exchanges between delegates and their Turkish University colleagues; May 27 : tour to the Hittite archaeological sites of Bogazhale, Yazilikaya and Alacahüyük; May 28 : transfer by coach to Istanbul, closing Assembly, visit to the National Archives, visit and closing reception in the Topkapi. Please return forms E and F before April 30, 2005 at the latest. 6. Accompanying persons No specific program will be provided for the accompanying persons (with the exception of the reception on Monday evening May 23, and the excursion day on Friday May 27). A excursion day in Beypazari (old Ottoman town located at 100 km from Ankara) will nevertheless be organised on May 25. Staff members of the Secretariat of the TTK will also be ready to help them (with information, suggestions, possible bookings, etc.). Our Turkish hosts consider the possibility to organise a visit of the Atatürks mausoleum on Thursday May 26, at 1 p.m. (to be confirmed). 7. Pre-tour A pre-tour will be organised in Turkey from Monday, May 16 till Monday, May 23, 2005. The organisation has been trusted to the Turkish correspondent of the Welcome Travel Agency (rue des Deux Églises 71, B-1210 Bruxelles ; tél. : +32 2 230 08 55, fax : +32 2 230 54 98, e-mail : welcome@welcometravel.be). From Istanbul, visits to Iznik/Nicaea, Bursa, Troy, Assos, Pergamum, Ephesus with reception by the Institute of Archaeolog of the Academy of Vienna , Priene, Miletus, Didyma, Aphrodisias, Pamukkale/Hierapolis and Gordion) are provided. Price will be (from diner and overnight in Istanbul on May 16, 2005 till arrival to the hotel booked for the Session in Ankara on May 23, 2005 afternoon; seven nights in hotels 4 stars full pension, including three nights in hotel booked in Ephesus; coach with air conditioning and with toilet; university French and English guide during all the tour; all taxes and entrance fees to the sites and the museums included) : Single room: 700 Double room: 570 If you wish to register, please return form G Attention, the pre-tour will be based on the participation of a minimum of 30 persons. 8. Additional information VISA : Delegates are invited to get information in due time from the Embassy or Consulate of Turkey in their country about the conditions for an entry in Turkey (submitted or not to the application of a visa).
